Definitions

The Client: The recipient of the service and name listed on the booking form

Make-up Artist/Hair Stylist: Name on form

The Agreement: The contract that exists between the client and the hair or make-up artist for the agreed fee

The fee: The amount payable by the client to the hair or make-up artist for the services listed above

The event: Relates in principal to the date whereby the wedding takes place.

The party: Additional members of the party that require the service.

Securing the booking of the event

Once you have sent your initial enquiry, we will check our availability for your wedding date including any extra mileage costs if applicable and send full breakdown of the quote by email within 24 hours of your request. The quote will confirm the details provided including the wedding date, time, your contact number and email address, your hair or make-up artists name, the location for the hair/makeup on the wedding day, and trial address if applicable.

The quote will also show a full break down of how many people require hair or makeup including the total cost plus travel expenses if applicable (please advise if any parking fees apply as these are also payable to the team member on the wedding day).

Your booking has been provisionally reserved at this point with the selected hair or makeup artist for 14 days only. From receipt of the quote there are 14 days to send the deposit payment to secure your wedding date with your designated hair or makeup artist, if not booked by this date, the date will be released and can be offered to another client.

To book your bridal hair or makeup artist for your wedding day a *non refundable deposit is payable via our online booking system all major bank and credit cards are accepted via the Worldpay payment portal.

*Please note deposits are only refundable if you are unhappy with the hair or makeup at the trial or up to 7 days after and confirm this via email to joanne@absolutely-flawless.net within 7 days of your bridal trial. Please note trial payments are not refundable  If you require a second trial with the same artist or request a different artist this will be payable in full to the designated artist in question.

Deposits are 25% of the total booking.

Please check all details on the quote are correct and you are happy with the quote before paying the deposit amount.

Once your payment has been received a confirmation email will be sent to you to confirm your booking has been secured for your wedding date and hair/makeup artist.

Your artist or artists will then contact you directly by email within 48 hours from when the deposit is paid, to do the following:-

  • Introduce themselves
  • Arrange any further details for your booking
  • Provide you with an estimated start and finish time for the hair/make-up (please note if you need the hair/makeup early or later you must let the team member know at this stage as if notified at a later date it may not always be possible to amend due to other work commitments
  • Your hair/makeup artist will confirm that they will be in contact with you at 12 weeks before the wedding to arrange the trial for around 10-8 weeks unless you have a specific date in mind.
  • If you do have a date in mind please arrange this as soon as possible with your artist or artists as we cannot guarantee your artist will be available especially in peak season.

If your artist or artists has not made contact with in 5 working days please contact Joanne at Absolutely Flawless directly at joanne@absolutely-flawless.net

If you need to amend any details for the booking after the initial booking has been made, to add or cancel part or the entire booking this will need to be confirmed in writing to your artist directly so they can make the relevant changes, it may be possible to add extra people at a later date if time permits but is not guaranteed.

If the booking needs to be reduced in numbers or cancelled entirely please note this may incur a cancellation fee depending on when we are notified. Please see below for cancellation terms.

Hair and Make-up Team

To check availability of a specific team member please specify the person you would prefer on your enquiry form then we will check if they are available for your wedding date first before enquiring to the rest of the team, you will then receive a full breakdown of the quote within 24 hours of your initial enquiry.

Payments

All Payments are payable via your online booking by debit or credit card using the Worldpay system, just to confirm no fees for using credit or debit cards will apply.

The deposit payment is payable within 14 days of receiving the quote.

All deposits are payable directly to Joanne Pearson via Worldpay.

Trial (if applicable) and final payments are payable to your selected hair or makeup artist, also payable through the online booking system using Worldpay.

The trial payment is non refundable and payable at least 1 week before the trial date, this is payable to the team member you have booked with.

The final balance is payable 8 weeks before the wedding date to the team member you have booked with. Failure to pay the fee within the stated time will result in the hair or makeup being cancelled.

Parking fees are payable on the day of the wedding to your hair or makeup artist, where parking fees are applicable to the location. Please confirm with your selected hair or makeup artist prior to the wedding day.

Mileage costs if applicable are calculated and added to the final balance. We give the first 50 miles from the artists address complimentary then charge any subsequent miles at 45 pence per mile. This including to the trial location and back to the artists home address and to the wedding day location and back to the artists address.

Cancellations

You may cancel your booking with us at any time in writing. However, If you cancel your wedding booking in full or in part with us due to the impact of the Coronavirus or any other reason you must note the following:

  • All deposits are non-refundable

Any trial and/or final balance payments for services that have been paid for but not undertaken, a sliding scale of fees will apply.

  • Cancellations up to 14 days before the wedding/event, 100% of the trial(s)/final balance is payable.
  • Cancellations 15-28 days before the wedding/event 75% of the trial(s)/final balance is payable.
  • Cancellations 29-45 days before the wedding/event 50% of the trial(s)/final balance is payable.
  • Cancellations 46-59 days before the wedding/event 25% of the trial(s)/final balance is payable.
  • Please note if you have paid for a trial and it has been carried out this will not be refunded.

Any full or part cancellation of wedding booking that has already been postponed due to coronavirus or any other reason:

  • 50% of the final balance will be payable (or refunded if already paid) from
    the date of rebooking up to 8 weeks before your new wedding date. From
    8 weeks before your new date our normal cancellation terms will apply.
  • Trial payments that have not been carried out will not be payable or will be refunded if paid.
  • Trials that have been carried out are non refundable.

Reduction in part of the booking will be payable (please refer to the above cancellation fees for details)

Cancellations by the hair or makeup artist due to circumstances including, but not limited to, problems rendering the hair or makeup artists incapable of their obligations the hair or makeup artist will endeavour to find a suitable replacement however if this is not possible a refund of your trial and final balance will be given to the client by the artist. No further compensation will be offered.

Cancellations by the client after trial stage, due to dissatisfaction of the service provided, the deposit payment will be refunded if notified within 7 days of the trial date via email to joanne@absolutely-flawless.net after this time no refund will be given.

Trial payments are non refundable once carried out.

Amendments to bookings

You may be able to add extra people to the booking at a later date, however you will need to check with your hair or makeup artist if they have the time to accommodate this as it is possible the hair or makeup artist after the original booking was agreed, has other bookings for that day before or after your wedding.

If you want to make changes to the original time on the booking form please contact your hair or makeup artist to confirm if this is possible as it may not be possible after the original booking has been agreed if the hair or makeup artist has other bookings on your wedding day.

If you want to amend the location for your trial or on the wedding day please contact the hair or makeup artist as soon as you can to ensure she is still able to attend the new location, travel expenses may be applicable if the location is further in distance.

If you need to postpone the wedding to a later date and your notification of cancellation falls within the timescales of our cancellation terms, please note cancellation fees will be applicable.

Travel / Expenses

The first 50 miles of the whole booking including travel to the trial and back to the artists home address and travel to the wedding day location and back to the artists home address are complimentary and free of charge with travel expenses being charged thereafter at 45 pence per mile for all subsequent miles travelled.

Parking fees are chargeable for all bookings that do not provide free parking please confirm any parking fees at the time of booking. These are payable to your hair/makeup artist on the event day.

Makeup Brands

We use many different brands of makeup which we have hand selected over the years to give the best results for each skin type, brands include, Nars, Charlotte Tilbury, Chanel, Georgio Armani, Dior, Smash Box, Bare Minerals, Benefit and Art Deco used on “Dancing on ice” for its water-proof and HD ready properties.

If you have a sensitive skin we have a range of products that will help to calm a sensitized skin and primers than neutralize redness.

We also have an extensive range of concealers so do worry if you get that dreaded spot on your wedding/event day as it will disappear in a flash.

The makeup is designed to last the whole day and night through and the only item that may need topping up, will be the lipstick/gloss due to eating a drinking.

Your chosen lipstick can be purchased from you makeup artist or they will provide you with a little of the lipstick in a pot with a lip brush, or you can use one of your own if you prefer.

Lashes

Lashes are payable extra to our makeup service, we have done this so not to increase prices as not every client likes to wear them. The lashes we use are natural looking to enhance your makeup to give natural length and fullness and are £5 We do also stock premium lashes which are fuller and give a bolder look and they can be purchased directly from your artist from£10 upwards depending on style and quality.

Allergies/Sensitivities

The client shall inform the hair or makeup artist of any issues that may affect the use of any equipment or products. This includes but is not limited to sensitivities, allergies and medical conditions.

The hair or makeup artist cannot be held liable for any losses that are incurred due to the client’s failure to inform them of any know condition.

Trials

Trials are carried at your location of choice, which you have confirmed on the enquiry form. If you are not local it may be possible to arrange a trial at one of the artists homes subject to availability.

Trial payments are payable 1 week before the trial to ensure all funds are secured before the trial day unless your hair or makeup artist are happy to accept payment on the trial date.

The hair or makeup artist will usually contact you around 12 weeks before the wedding date to arrange the trial for around 8-10 weeks before the wedding day as this is a good time as you will have any colour schemes, themes and styles of dresses decided so the hair or makeup can be styled accordingly.

If however you would like your trial before this date to fit in with e.g. a hen night or dress fitting please do get in contact with your hair or makeup artist as soon as you know the date you have in mind and they will endeavor to book you in for that date, however this cannot be guaranteed.

If you have to cancel your trial you are welcome to do so, however please note that if the trial is cancelled for on a second occasion. The trial fee will be payable again and will not be rebooked without payment upfront.

It is recommended for weddings that your bridesmaids, Mother of the bride or guests have a trial to ensure that you and they are fully happy before the day to give you peace of mind however it is not compulsory as some brides are happy to have the hair or makeup for their wedding party just on the wedding/event day.

At the trial you will have a full consultation covering skin allergies, skin type and any concerns you have with your hair or skin, what products you currently use, your likes and dislikes including styles you have collected and any preferences. Before any treatment you and your selected hair or makeup artist will agree on styles of makeup/hair to be trialled before the treatment commences to ensure you are entirely happy.

It may be useful to show the makeup artist any makeup products you currently use, as the makeup artist will go through these details as part of the consultation to have an understanding of what you currently wear and feel comfortable in. For the hair trial please have ready any hair accessories, veils you wish to wear or hairpieces to be added to the style.

In preparation for your trial you may like to collect any pictures of makeup/hair you like on pintrest or bridal magazines to show your hair or makeup artist at the trial. This is optional as your hair or makeup artist will also show you mood boards as part of the consultation to gain an understanding how you envisage your bridal style to be.

Please can you also advise the makeup artist if possible, if you are going to have a tan or lash extensions on the day so they can account for this at the trial as this will change the look of the makeup, it is always recommended to come with the tan applied if you are going to have it on the wedding/event day so the foundation can be matched although this can be matched again on the event day if not possible at trial stage.

It is also advised to have your hair trial after you have had your hair cut and coloured, so the hair can be styled and look the same way at the trial as it will be on the wedding day.

At the end of trial once the chosen look has been created, you will be asked to confirm you are happy with the final look, If you are unhappy with any aspects of the look please do let us know during the trial so it can be rectified at trial stage as we will stay as long as it takes to ensure you are happy with the final look.

Please note trial payments are non refundable. however if you are unhappy after the trial your deposit will be refunded if you make contact with Joanne within 7 days. Please contact via email joanne@absolutely-flawless.net. Any subsequent trials with the same artist or a new artist will be payable in full.

At the trial you will also be asked if you are happy for a before and after picture to be taken, this may be used on social media sites and website to show prospective clients the hair or makeup artists work, you are not obligated to agreed to this it is entirely your choice. Pictures may need to be taken to guide the hair or makeup artist as a reference to the look on the day however these will not be used on any social media unless permission is given.

Please allow at least 1.5 hours for the hair or makeup trial for weddings/events and 1 hour for bridesmaid/mothers/others trials.

Wedding day

Once we have agreed all the details for the wedding at trial stage our next communication will 1 week before the wedding just to confirm all the final details incase of any last minutes changes to locations or times.

We will then be with you promptly on the agreed time on the wedding day. We will arrive at the time stated on the form unless changes have been made to the start time.

We will need an area of natural light if possible to do the bridal makeup, if this is not possible we will endeavor to bring our own lighting. For hair we will also need plug sockets for appliances.

As a guide we would request from the start time for 1 person to be available for hair or makeup every 45 minutes to ensure we keep to timescales given on the booking form.

If due to unforeseen circumstances from the bridal party the hair or makeup is delayed we will try our best to still have you ready on time however this cannot be guaranteed.

We recommend the following as a schedule for hair and makeup:- the bridal party members getting the bride in to her dress go first so they can go and get their dresses on so they are ready to help the bride in to her dress after her hair and makeup. The bride would then have hair and makeup somewhere in the middle so not first or last. Anyone who can slip their dresses on easily and not involved in getting the bride ready to go last.

Regarding timings for the wedding day we usually aim to finish 1 hour before the time of the wedding. If you feel you need more time than this to get ready and get to the venue please inform us at the time of booking, as we cannot guarantee after the initial booking that we will be able to amend the finish time due to other commitments.

For a running order for hair or makeup you can have hair or makeup done first as long as after the makeup is done you do not need to wash the hair.

If you need to eat or drink after the makeup is done a top up of makeup will be done at the end of the treatment.

Please confirm to your hair or makeup artist before they leave on the wedding day that you are happy with your hair and makeup so they can make any necessary adjustments. As no compensation will be offered after this time.

CHANGES TO OUR TERMS AND CONDITIONS IN LIGHT OF THE CORONAVIRUS OUTBREAK

 

Introduction:

The following Coronavirus terms and conditions are a result of extensive risk assessment analysis for the ‘mobile’ hair and beauty sector.

Absolutely Flawless are adhering to government health guidelines and if announcements are made that affect our sector in the coming weeks/months then we reserve the right to change the terms below to ensure both ‘yours’ and ‘our teams’ safety.

Postponements

    1. If you postpone your booking due to the impact of the Coronavirus, we will not charge a cancellation fee, provided you: (a) Rebook within 12 months of the date you inform us of your intention to postpone. (b) Have the new wedding date within 12 months of date you rebook. This effectively gives you 2 years breathing room to change your plans. Any money you have paid towards the booking will be assigned to your new booking.
    2. If you postpone your booking with us due to the impact of the Coronavirus, we will use our reasonable endeavours to allocate the same artist/stylist for your new wedding date. However, if this is not possible, we will try to allocate a different artist/stylist.
    3. If your trial is postponed due to bride/client having or being in close contact with Coronavirus, and does not have time to rebook a new trial. Then we are happy to carry out our hair and/or makeup service on your wedding day without a trial. We would work with you to carry out an in-depth consultation over the phone and email to discuss styles and preferences. No refunds would be given in this situation.
    4. If your trial is postponed due to artist/stylist(s) having or being in close contact with Coronavirus, and there is no time to rebook a new trial. Then we will carry out our hair and/or makeup service on your wedding day without a trial. We would work with you to carry out an in-depth consultation over the phone and email to discuss styles and preferences. If trial fee had been paid then a refund would be given in this situation.
    5. If, following your trial, your wedding is postponed due to issues surrounding the Coronavirus and your chosen artist/stylist(s) are not available for your new booking date. We can transfer your trial notes and pictures to another team member to re-create that look on your wedding day. Alternatively, you can book another trial with a new team member. This would need to be paid for as a new trial.
    6. Due to the increased uncertainty of wedding dates being postponed we are asking all brides to now make their final payment at 4 weeks before the wedding rather than 8 weeks.
    7. Hair trials will be carried out as close to the wedding date as possible (from 4 weeks) before your wedding date. This is incase your wedding date is postponed to a new date and needs to be transferred to a different artist due to availability.

PLEASE NOTE:
You will need to provisionally check we have availability for your new wedding date ‘BEFORE’ confirming your new date, this is to ensure we have artist/stylist(s) available. If we have no artist/stylist(s) available for a new date WHICH HASN’T BEEN CHECKED WITH US BEFOREHAND then ‘no refunds’ will be given. This also includes if you have paid for a trial or final balance.

Cancellations

You may cancel your booking with us at any time in writing. However, If you cancel your wedding booking in full or in part with us due to the impact of the Coronavirus or any other reason you must note the following:

If we have to cancel your booking due to the impact of the Coronavirus

If your artist/stylist has to cancel your booking due to the impact of the Coronavirus we will use our reasonable endeavours to find a suitable replacement artist/stylist for you. However, if this is not possible, we will refund any trial and final balances for services that have been paid but not yet undertaken. Deposits are non-refundable. No further compensation will be offered.

If you/your household are ‘affected’ by the Coronavirus within less than 14 days of your wedding booking

If within less than 14 days of the wedding date, you/your household or any person in your wedding party and their household who has a booking with us for hair and/or makeup develops any Coronavirus symptoms including:

      • A new continuous cough
      • A high temperature
      • Loss of taste and/or sense of smell

Then please contact us immediately. It is likely that your artist will not be able to carry out the service for those who are affected in these circumstances, If the bride is affected the whole wedding booking would need to be cancelled or postponed. Our usual cancellation terms will apply unless you postpone your wedding booking and transfer your booking to a new date.

What you can expect from us

      1. Your artist will call ‘14 days’ before trial and/or wedding to confirm whether the artist has had Coronavirus symptoms in the previous 14 days or has been around anyone with symptoms.

        If answer is ‘yes’, the artist will confirm they are getting a Coronavirus test immediately to ensure they are well in time for any hair/makeup treatment.

        They will also make contact with you anytime between 14 days up to your wedding day if they start with any symptoms or have been exposed.

      2. Your artist will call again ‘1 day’ before trial and/or wedding to confirm whether the artist has had coronavirus symptoms in the previous 14 days or has been around anyone with symptoms.
        • If your artist presents with any symptoms ‘1 day’ before your ‘trial’, your artist/stylist will endeavour to re-schedule your trial to the earliest date available.
        • If the artist/stylist presents with any symptoms upto the morning of
          the wedding we will use our reasonable endeavours to find a suitable replacement for you from our team. However, if this is not possible a full refund will be given to you. No further compensation with be offered.
      3. Detailed instructions will be emailed on how the bride and bridal party treatment will take place; what they can expect from their artist(s) and what the artist(s) expect of the bride/client(s) in preparation for their arrival. Including but not limited to:

        Doorstep Disclosure Form

        Artist/stylist and bride/client to complete a disclosure form before entering the home/hotel room provided by the artist/stylist on the trial and wedding day. This is to check that all preparations for the artist/stylist(s) arrival have been taken care of, and also if anyone present in the home/hotel room has either:

        • A new continuous cough
        • A high temperature
        • Loss of taste and/or sense of smell

        The disclosure form is to be signed by the bride/client and the artist(s), a photographed copy of which will be emailed to both parties. This form will cover all Absolutely Flawless clients on the day including:

        • Anyone present in the home/hotel room on the day of the trial and wedding.

        Thermometers

        Thermometers will be used to take temperatures of bride/client(s) and artist/stylist before entering the bride/client(s) house/hotel room.

        PPE

        Our artist/stylist(s) will be wearing PPE throughout your appointment including but not limited to: visor, masks and gloves.

        • Bride/client(s) will be required to wear a face mask when having hair
          styled, then when doing ‘eye makeup’ for makeup service. If the client doesn’t have a mask then one will be provided for a small fee.
        • Makeup artists and hair stylists will wear latex gloves on entering the house/hotel room and for and toilet visits. However, they cannot perform treatments with latex gloves due to delicate hands on nature of their respective jobs, they will be ensuring they wash hands and sanitise regularly between each treatment and client.
        • All equipment and products used to carry out your treatment will be sanitised before and after each use and in between each client with products conforming to BS EN standards. With deep cleans of all equipment at the end of each day.
        • Timings will be adjusted to allow for extra time to clean equipment/surfaces and to include clean air breaks for artist/stylist when they require them.

        CAR SHARING

        We have stopped the practice of car sharing with immediate effect where more than one artist was booked for the same wedding, this is to reduce chances of infection due to long periods in a confined space. Any current weddings where mileage has been calculated to accommodate a car share will be re-adjusted and your artist will be in touch to discuss any monies due.

What we require from you

      1. Your artist will call ‘14 days’ before trial and/or wedding to confirm whether you or your bridal party has had Coronavirus symptoms in the previous 14 days or has been around anyone with symptoms.

        We ask you to also make contact with your artist anytime between 14 days up to your wedding day if you start with any symptoms or have been exposed.

        If answer is ‘yes’, you will need to confirm you or your bridal party are getting a Coronavirus test immediately to ensure you and your wedding party are well in time for any hair/makeup treatment.

      2. Your artist will call again ‘1 day’ before trial and/or wedding to confirm whether you or your bridal party has had coronavirus symptoms in the previous 14 days or has been around anyone with symptoms.
        • If the bride or bridal party presents with any symptoms ‘1 day’ before
          your ‘trial’, your artist/stylist will endeavour to re-schedule your trial to the earliest date available.
        • If the bride or bridal party presents with any symptoms ‘1 day’ before
          your ‘wedding’ then we ‘carry out the service if it is a bridal party member that is not part of the same household and cancellation terms would apply for the person. If the bride is affected then we cannot carry out the service and our cancellation terms will apply.
      3. During your trial and/or wedding booking, you will ensure that the only person in the room with the artist/stylist is the person who is having their hair/make up done. No other persons may be present including friends, relations or children, this is to reduce any Coronavirus risk.

        If more than one artist/stylist is needed either from Absolutely Flawless or another supplier they must be enabled to work at least 2 metres apart or enabled to work in a different room in the home/hotel room.

      4. Whichever room is allocated for the treatment, please ensure that the surfaces have been wiped down with anti-bacterial spray and the room clear of any uneccessary items or obstructions.
      5. Any music or TV is to be kept at a very low level, this is prevent shouting or raised voices which increase potential transmission of contaminated airborn particles.
      6. On the wedding day photographers can enter the room where the artist/stylist(s) is doing makeup/hair but they must wear a mask and stay 2 metres away at all times and for short periods.
      7. Artist(s) will rigorously run through any safety preparations we need from you in time for their arrival 2 weeks before the trial/wedding.

        As a result any artist(s) has the right to rufuse to work where their safety is put at an unacceptable risk, either from an unsafe workspace or unauthorised people entering the room whilst our artist/stylist(s) are performing their role. If an artist feels the conditions are met for an unacceptable risk to health, the client will be given the chance to rectify whilst the artist waits outside, If conditions are still not acceptable then artist will leave. No compensation will be offered.

If your situation isn’t covered by the above, we will deal with your circumstances on a case by case basis.

We reserve the right to make reasonable changes to these terms as public health and safety and business needs may require during the Coronavirus outbreak and its impact.
